You invoice what you can document. Not what you actually do. That's the difference between a manual and an automated invoicing flow. And for a lot of service businesses, that difference is worth 10–20% of revenue.

- The technician does the job and jots the hours on a note
- The note gets handed in at the office (maybe a few days later)
- The office types the hours from the note into the invoicing system
- Materials? Did the technician remember to write them down? Did the office remember to ask?
- The invoice goes out — after maybe two weeks
In this sequence there are at least three chances for information to go missing:
- The technician forgets to note the materials
- The note gets forgotten in the van or lost
- The office mistypes during transfer
And for every step that's manual, the odds of something dropping out go up. The result is an invoice that doesn't reflect what was actually done.
What does an integrated flow automate?
With a system where time tracking and material recording are linked to the work order (arbeidsordre) — and the order is linked to the invoicing system — the flow looks like this:
- The technician checks in to the job in the app
- Along the way the technician records materials — either manually, by barcode scanning (strekkodeskanning), or from a product library (produktbibliotek)
- The technician checks out; hours and material use are totalled automatically
- The order is invoice-ready in the invoice draft — with no copying
- You approve and send the invoice
The only manual steps are 5 (approval, which you should be doing anyway) and possibly 2 if the technician needs to enter materials by hand.
Material recording — the thing most often forgotten
Of hours and materials, it's the materials that most often fall off the invoice. They're easier to forget, harder to remember after the fact, and without a system where the technician records them on site, they disappear.
For a service business with a typical material share of 30–40% of job revenue, this is a real loss. A job with kr 5,000 in materials that doesn't get invoiced is kr 5,000 lost — on top of the wage and overhead costs for the job.
Good systems let the technician record materials in different ways:
- Free text with quantity and price — simplest, but error-prone
- Selection from a product library — reduces errors and applies the correct price automatically
- Barcode scanning — fastest on jobs with a lot of standard materials
The main thing is that materials are recorded then and there — not reconstructed afterwards.
Invoice cycle and cash flow
One of the concrete business gains from an automated invoicing flow is a shorter invoice cycle — the time from when a job is finished to when the invoice is sent.
With a manual flow: 1–3 weeks is normal. With an automated flow: 1–3 days is possible.
For a business with kr 500,000 in outstanding invoices at any given time, a 10-day shorter invoice cycle means roughly kr 14,000 more available cash flow (at 10% interest). That's not a marginal improvement — it's real access to capital without external financing.
Step by step: how to set up an automated flow

Step 2: Integrate with your accounting system. Check that the system sends data directly to Tripletex, Visma, Fiken or whatever you use — not as a CSV export you have to upload manually.
Step 3: Build a product library. The 20–30 materials used most often go in with price and unit. The technician picks from the list instead of typing free text.
Step 4: Set up an approval routine. Decide who approves the invoice draft and how quickly. A one-week cycle is common; two working days is ambitious but achievable.
Step 5: Measure the invoice cycle monthly. The average number of days from when a job is finished to when the invoice is sent — that's the key figure. If it falls, the system is working.
VAT and invoice requirements
For invoice content: the Bookkeeping Act (bokføringsloven) and the VAT Act (merverdiavgiftsloven) set requirements for what an invoice must contain — organisation number, VAT (mva) calculation, and the nature and scope of the service. A good system fills these fields automatically from the work order and the customer data.

Frequently asked questions
Can we invoice per project instead of per job?
Yes — many systems let you collect several work orders on one project and send a single combined invoice. That's common for ongoing service agreements or projects with monthly invoicing.
What if the customer wants an itemised invoice (hours per day, materials per line)?
Most systems let you set the invoice level — detailed or summary. The customer can choose an attachment with the time log and material specification. This is a negotiation that should be settled in the contract.
Can we split a job across two invoicing periods?
Yes — partial invoicing (delfakturering) is standard functionality in most order management systems. You invoice the work done per period and mark the rest for the next period.
